Terms of Service
The rules that apply when your family learns with PiNation Academy, written to be read, not skimmed past.
The short version
- A parent or guardian holds the account for students who are minors.
- Cancel or reschedule a one-to-one lesson with at least 24 hours’ notice at no charge.
- Tutoring is invoiced monthly in advance, and prices are confirmed in writing before you start.
- You can stop at any time, and we refund lessons you have paid for that have not taken place.
- Tutors guide learning but will not do graded work for students, and we cannot guarantee specific grades.
- Lessons happen on our platform, and tutors never contact students through private channels.
1. About these terms
These terms are an agreement between you and PiNation Tech Inc., operating as PiNation Academy (“we”, “us”). They apply to our website, our tutoring services, and our learning platform.
By booking tutoring or using an account, you agree to these terms. If you are arranging tutoring for a child, you confirm that you are their parent or legal guardian and accept these terms on their behalf.
Your rights under consumer protection law, including Ontario’s Consumer Protection Act, 2002, are in addition to these terms and are not limited by them.
2. Our services
We provide online tutoring for students from Grade 1 to university, including:
- One-to-one tutoring with a tutor matched to the student’s grade and subjects.
- Small-group course series in Mathematics and Science, which run on a set schedule.
- A free consultation before you commit to anything, with no obligation to enrol.
- Our learning platform, where lessons take place and coursework, schedules and progress are kept.
All teaching is online. Before your first paid lesson, we will email you a written summary of your plan, including the price, schedule and cancellation terms, for you to keep.
3. Accounts
- A parent or guardian holds the account for any student who has not reached the age of majority in their province, and is responsible for how it is used.
- Parents and guardians may create logins for their children. Keep passwords private and tell us straight away if you think an account has been accessed without permission.
- Please keep your details accurate, so we can reach you about lessons.
- Adult students may hold their own accounts.
4. Scheduling and attending lessons
- After matching, your tutor schedules lessons with you. Times on the platform are shown in your own time zone.
- Students should join on time from a quiet place, using a device with a working camera, microphone and a reliable internet connection.
- If a student has not joined within 15 minutes of the start time without letting us know, the lesson counts as missed.
- If a lesson cannot go ahead because of a problem on our side, including our platform or our tutor, we will reschedule it or credit it at no cost to you.
5. Cancelling or rescheduling a lesson
- At least 24 hours’ notice: cancel or reschedule a one-to-one lesson at no charge.
- Less than 24 hours’ notice, or a missed lesson: the lesson is charged as if it took place, because your tutor has reserved that time for you.
- Emergencies and illness: tell us as soon as you can. We will always consider waiving the charge.
- Group course sessions run as scheduled for the whole group, so a session one student misses is not refunded individually. Materials from that session remain available on the platform.

6. Fees and payment
- Prices depend on the type of class, how long each session runs, and the student’s grade and subject. Your rate is confirmed in writing before you start, in the plan we email you.
- Tutoring is invoiced monthly in advance, and payment is due before the first lesson of each month.
- Applicable taxes, if any, are shown on your invoice.
- We will give you at least 30 days’ notice by email before any price change applies to you.
- If a payment is overdue, we may pause lessons until it is settled.
7. Ending tutoring and refunds
- You can stop tutoring at any time by emailing hello@pinationacademy.com.
- Within 10 days of receiving your written plan, you may cancel for any reason and receive a full refund of anything you have paid for lessons that have not yet taken place.
- After that, if you stop partway through a paid month, we refund the lessons in that month that have not yet taken place, less any late cancellations or missed lessons.
- Refunds are made within 15 days, using the method you paid with where possible.
8. Our tutors and what we can promise
- Every tutor is interviewed by the academy, and we verify their identity and qualifications before they teach.
- Your agreement is with the academy, not with an individual tutor, and we are responsible for the tutoring we arrange. Every tutor agrees in writing to the conduct rules below.
- We match tutors to each student’s grade and subjects, and you can ask for a different tutor at any time.
- If a tutor becomes unavailable, we will arrange a suitable replacement and let you know before the next lesson.
We teach carefully and in good faith, but every student is different, so we cannot guarantee particular grades, exam results or admissions outcomes.
9. Academic integrity
Our tutors explain, guide and practise with students. They will not complete graded assignments, tests or exams on a student’s behalf, or help with anything a student’s school would treat as cheating. We may end tutoring if we are asked to.
10. Safety and conduct
What every tutor agrees to
- Teach only through our platform, from an appropriate setting, with their camera on.
- Never exchange personal contact details with a student, contact a student privately, or arrange to meet in person.
- Never ask a family to move lessons or payment off the platform.
- Never record a lesson without the consent of everyone present.
What we ask of families
- For younger students, a parent or guardian should be nearby and reachable during lessons.
- Please do not record a lesson without the consent of everyone present.
- Treat tutors respectfully. We may end a lesson, or suspend an account, if anyone behaves in a way that is abusive, discriminatory or unsafe.
Lessons arranged outside the platform
Tutors are not allowed to teach, message or take payment from our families privately. If a tutor suggests it, please tell us. It breaks their agreement with us and we will act on it.
If you do arrange lessons or payments with a tutor directly, those arrangements are not part of our service. We cannot see them, schedule them, supervise them or refund them, so we are not responsible for the teaching, the money, or any dispute that follows. This does not affect our own responsibility for how we choose and supervise the tutors we assign, or anything else the law does not allow us to limit.
Raising a concern
If anything about a tutor or a lesson worries you, email hello@pinationacademy.com. We will reply within one business day, and that tutor will not teach your child again while we look into it.
If we believe a child may be at risk, we will report it to a children’s aid society or the police. Ontario law requires anyone who suspects that a child needs protection to report it, and we treat that as an obligation rather than a choice.
11. Using the platform
When using the platform, please do not:
- Share your login, or use someone else’s account.
- Upload anything unlawful, harmful, or that you do not have the right to share.
- Try to access information that is not yours, or interfere with how the platform works.
We work to keep the platform available and improve it over time, which means features may change. We will tell you in advance about changes that significantly affect your lessons.
12. Materials and student work
- Materials we provide, such as worksheets and notes, are for the enrolled student’s personal learning and may not be shared publicly or resold.
- Work a student creates belongs to the student. You allow us to store it and show it to the student’s tutors and parents or guardians so we can teach and give feedback.
13. Privacy
How we collect, use and protect personal information, including information about children, is explained in our Privacy Policy.
14. Limits on our liability
Nothing in these terms limits any liability that the law does not allow us to limit, including liability for our own negligence or for fraud, or rights given to you by consumer protection law.
Subject to the above, and to the extent the law allows, we are not responsible for indirect or consequential losses, or for problems caused by things outside our reasonable control, such as your internet connection or device.
Subject to the above, our total liability for any other claim, such as a billing dispute or a lesson that did not go ahead, is limited to the fees you paid us in the three months before the issue arose.
15. Suspending or ending the service
We may suspend or end an account if these terms are seriously or repeatedly broken, or if we must do so by law. Unless the reason is serious misconduct, we will give notice first. If we end tutoring for reasons that are not your fault, we will refund lessons you have paid for that have not taken place.
16. Changes to these terms
We may update these terms and will show the new date at the top. We will email account holders at least 30 days before a significant change takes effect. If you do not agree with a change, you can stop tutoring and receive a refund for lessons you have paid for that have not taken place.
17. Governing law
These terms are governed by the laws of Ontario and the federal laws of Canada that apply there. If you live in another province, you keep any consumer protections that the law of your province gives you.
